INTRODUCTION

Educadoo ERP is a school management and online payment platform developed and maintained by Hafisoft Technologies Private Limited (“Hafisoft”).
By using the platform or initiating an online payment, users agree to these Terms and the applicable fee and payment policies of their respective educational institution.

NATURE OF SERVICES

Educadoo ERP provides the technology infrastructure for fee management, school administration and online payments through third-party payment gateways.
Payments may be facilitated through ICICI Bank, NTT DATA, HDFC Bank or other payment providers selected by the institution.
Each institution determines its fees, concessions, due dates, late charges and refund eligibility; Hafisoft does not independently set or amend these policies.

FEES AND PAYMENT OBLIGATIONS

Tuition fees, admission fees, examination fees, transportation fees and other charges are determined by the respective institution.
Before paying, users should check the institution, student details, fee description, amount, and payment method.
A payment is treated as completed when confirmed by the relevant payment provider and appropriately recorded or reconciled in the institution’s accounts.
A bank debit notification alone does not establish successful receipt of funds by the institution.

LATE FEES AND PENALTIES

The institution may impose late payment fees or additional charges where an amount is not paid by the prescribed due date, in accordance with its disclosed fee rules.
Educadoo ERP may automatically calculate late fees based on the institution’s configured schedule.
Requests for a waiver, reduction, concession or correction of late fees must be addressed to the institution; Hafisoft does not approve institution-specific waivers.

REFUNDS AND CANCELLATIONS

Successfully completed school fee payments are generally non-refundable and non-cancellable under the institution’s policy, except where a refund or reversal is required by applicable law or payment network rules.
Admission withdrawal, transfers, discontinuation of studies, fee concessions or incorrectly allocated fees are reviewed by the respective institution under its published policies.
Hafisoft does not independently approve or reject institution-fee refunds.
Duplicate payments, excess collections, failed transactions and erroneous debits shall be investigated and handled by the relevant institution, payment service provider and/or bank, as applicable.
Where required or approved, refunds normally follow the original payment method, subject to applicable banking and gateway procedures.

FAILED, PENDING AND DUPLICATE TRANSACTIONS

Online payment processing can be delayed or interrupted due to banking systems, payment gateways, internet connections or other technical issues.
If funds are debited without a confirmed payment, retain the transaction reference and contact the institution or payment provider; check the transaction status before paying again.
Failed-payment reversals and any applicable compensation follow the relevant laws and banking/payment network requirements.
Educadoo ERP may assist with verification and reconciliation but cannot independently control third-party settlement or reversal timelines.

GATEWAY CHARGES AND TAXES

A payment method may attract convenience fees, gateway charges or applicable taxes.
Any additional charges must be shown or otherwise disclosed before payment confirmation.
Where a refund is due, the treatment of any related transaction charges is governed by applicable law and the relevant service provider’s terms.

USER RESPONSIBILITIES

Provide correct student, contact and transaction details, and verify the selected institution and student account before paying.
Protect account credentials, passwords, PINs and one-time passwords; do not share sensitive authentication information.
Do not initiate fraudulent or unauthorised transactions; promptly report suspected duplicate payments or unauthorised activity.
Follow the applicable institution’s published payment instructions and deadlines.

PLATFORM AVAILABILITY

Hafisoft takes reasonable steps to maintain reliable service, but availability may be affected by maintenance, upgrades, outages, security controls or third-party disruptions.
Continuous, error-free access is not guaranteed; access may be temporarily restricted where reasonably necessary for operations or security.

RESPONSIBILITIES AND LIABILITY

Each institution is responsible for its fee decisions, school services, financial records and institution-specific dispute resolution.
Banks and payment gateways are responsible for their functions under their service arrangements and applicable regulations.
To the maximum extent permitted by law, Hafisoft is not responsible for disputes arising solely from information supplied by institutions or users, institution-only fee decisions, or failures attributable exclusively to independent third parties.
To the maximum extent permitted by law, Hafisoft shall not be liable for indirect or consequential losses caused by interruptions or payment delays.
Nothing in these Terms limits any liability, consumer right, statutory remedy or obligation that cannot lawfully be excluded, including Hafisoft’s own legally actionable misconduct.

COMPLAINTS AND DISPUTE RESOLUTION

For fee calculations, late fees, concessions, fee allocation or refunds, contact the respective institution’s accounts or administrative office.
For technical payment difficulties, contact the designated Educadoo or institution support channel.
When needed, disputes may also be referred to the relevant bank, payment gateway or competent authority in accordance with applicable rules.

UPDATES TO THESE TERMS

Hafisoft may revise these Terms for changes in services, operations, security or applicable law.
The current version and effective date will be published; additional notice or consent will be provided where legally required.

APPLICABLE LAW

These Terms are governed by applicable Indian law; disputes are subject to courts or statutory authorities with jurisdiction under that law.
Nothing here restricts mandatory consumer protection or other statutory remedies.

Hafisoft Technologies Private Limited (“Hafisoft”) operates Educadoo ERP, a school administration and online payment technology platform.
This Privacy Policy explains how personal information may be collected, used, stored, disclosed and protected when the platform is used by students, parents, guardians and authorised institution personnel.

INFORMATION PROCESSED

Student and school records may include name, admission number, class, section, academic records and institutional identifiers.
Parent or guardian details may include name, contact number, email address and other details reasonably required for institution services.
Payment-related details may include fee descriptions, amounts, payment dates, status, transaction references, gateway identifiers, refunds and reconciliation records.
Technical records may include IP address, browser or device details, authentication sessions, security logs and essential cookie identifiers.

PURPOSES OF PROCESSING

Provide the institution’s school administration and fee management services and identify the correct student account.
Initiate, verify, reconcile and document electronic payments, and provide receipts or payment notifications.
Support users, investigate failed or disputed payments, and maintain the platform’s integrity and security.
Comply with applicable legal or regulatory requirements; avoid using personal information for unrelated purposes without an appropriate legal basis.

ROLES OF INSTITUTIONS AND HAFISOFT

The relevant institution decides which student and school records are required for its educational and administrative activities.
Hafisoft provides the platform and may handle data on behalf of an institution or for its own platform administration, security, support and compliance obligations.
Each party remains responsible for its data protection duties under applicable law and the actual contractual processing arrangements.

PAYMENT PROCESSING

Payment transactions may involve ICICI Bank, NTT DATA, HDFC Bank and other integrated banks or authorised payment gateways.
Information needed to initiate, confirm, reconcile or investigate transactions may be shared with the relevant financial service provider.
Enter card PINs, CVVs, banking passwords and one-time passwords only on authorised payment interfaces; do not share them with institution or Hafisoft staff.
Banks and payment gateways also apply their own privacy, security and regulatory obligations to information they process.

SHARING OF INFORMATION

Information may be disclosed as reasonably necessary to the associated institution, authorised bank or payment gateway, hosting or technical service provider, and authorised support personnel.
Information may be provided to regulators, government bodies or law-enforcement agencies where legally required.
Disclosures are limited to appropriate operational, contractual or legal purposes; unrelated third-party marketing requires a lawful basis.

STUDENT AND CHILDREN'S INFORMATION

Educadoo ERP supports schools and therefore may process personal information relating to children.
The institution and Hafisoft will apply safeguards and obtain appropriate parent/guardian consent or other authorisation where applicable law requires.
Parents and guardians may contact their institution about permitted requests concerning a student’s records.
Children’s data must not be used for unauthorised advertising or unrelated commercial profiling.

SECURITY MEASURES

Hafisoft seeks to use reasonable organisational and technical protections such as authentication, access controls, secure communications and monitoring appropriate to the services.
No electronic platform or online transmission can be guaranteed completely secure.
Users should keep passwords and other authentication credentials private and promptly report suspected unauthorised access.

RETENTION AND DELETION

Information is retained only as reasonably necessary for educational administration, payment reconciliation, technical operation, lawful dispute handling or applicable legal requirements.
Retention periods may depend on the type of record, institution instructions, contractual obligations and laws.
When continued retention is not justified, records are deleted, anonymised or otherwise handled according to the applicable requirements.

COOKIES AND SIMILAR TECHNOLOGIES

Educadoo ERP may use essential cookies for session management, authentication, security and website operations.
Any non-essential analytics or other cookies will be handled with the notices or consent required by applicable law.
Disabling essential cookies may prevent some platform functions from working correctly.

PRIVACY RIGHTS AND REQUESTS

Subject to applicable law, individuals may request access, correction, deletion or other available rights relating to their personal data.
Requests relating to school-managed records should generally be made to the respective institution.
Requests relating to Hafisoft’s own data processing may be sent to the published privacy contact and will be assessed in line with applicable law and lawful retention requirements.

THIRD-PARTY SERVICES

The platform may connect to payment gateways, banks, hosting, communications or other authorised third-party services.
Those providers may maintain their own terms and privacy practices for processing under their independent control.
Hafisoft remains responsible for its own applicable legal obligations; it does not control independent third-party practices outside its remit.

CHANGES TO THIS POLICY

Hafisoft may update this policy when its services, technology, practices or legal obligations change.
An updated version will display a revised effective date, and additional notice or consent will be sought where required.

APPLICABLE LEGAL FRAMEWORK

Personal information will be handled in accordance with applicable Indian data protection, information technology, payment and related laws, as their relevant provisions come into effect.
